Procurement

Insurance, purchase orders, and payment terms.

The answers your business office needs before it can set us up as a vendor.

Penn Pumpkin Co is insured, runs record checks on its crew, accepts purchase orders, and invoices on net 30 terms. A standard certificate of insurance and a W-9 are available immediately, and a certificate naming your organization as additional insured can be requested. A $250 deposit holds your party date. If the weather turns, we reschedule rather than cancel.

Insurance.

We are insured, and a standard certificate of insurance is available immediately. Most districts, campuses, and property managers ask a vendor for that document before anything else. You can have it the day you ask.

If your office needs a certificate naming your organization as additional insured, we can request one. Our insurance agent writes that version, so the timing sits with them. Ask early and it is rarely a problem.

Requirements differ from one office to the next. Send us the language yours needs and we will work through it with you.

Who arrives on your property.

We run record checks on our crew. For a school or a childcare center that is usually the first question any vendor gets, so we answer it up front.

Crew size is set by the party. A larger headcount, a longer window, or a second decorating station each add people, and the quote shows that before you commit.

Purchase orders.

We accept purchase orders. Send the PO number and the billing contact, and we invoice against it. If your district requires a vendor to be set up in a portal first, tell us early and we can start on it while your date sits held.

We can provide a W-9. Ask whenever your accounts payable office needs one.

Payment terms.

Net 30. The invoice follows the event, and the deposit you have already paid is credited against the total. There is no cart and no card taken at the door. Organizations pay the way their finance office is set up to pay.

The deposit, and what holds your date.

A $250 deposit holds the date for a pumpkin-patch party, and it is credited against your final invoice. Until it is paid, the date stays open to anyone else asking for it. Autumn weekends go early.

The deposit is not refunded. It is not lost either: it stays with your booking and moves to the new date if you reschedule.

Weather, and what happens to the date.

Light rain is fine, and the party runs. Autumn drizzle is part of the season, and a wet morning is not a reason to call your families and start again.

In worse weather we reschedule. We do not hold rain dates, because a second date on the calendar takes that date from another group, and it is seldom the day that suits a school or an office anyway.

Your deposit moves with the booking and is held as credit for two years. That covers the rest of this autumn and the whole of the next one.

The credit is good at any of the businesses under our parent company, PA Fun Co, so it can go toward a different kind of event.

To get started

What we need from you.

Four lines in an email are enough to price an event and hold it.

  • The date, and a second choice if you have one
  • How many children, and roughly what ages
  • The space: blacktop, field, lot, gym, or hall
  • Your billing contact, and a PO number if you have one

Staffing scales with the size of the party and what you book.

We run the activities. Supervising the children stays with your own staff.
